Introduction

Because you have only a limited amount of space for email, and because all email is deleted from your account automatically after 1 year from its creation date, your email account isn't a good place for permanent storage. To save email permanently you must export it. Exporting email saves a copy on your laptop, desktop, or file server (outside your email account).

Create a Folder to Receive the Export

It's best to begin by creating a folder on your computer's hard disk or on a file server to hold all the email that you will export. To create a folder, navigate to the location on your computer's hard disk or on a file server where you wish to save the exported email. Pull down the File menu and select New folder. As soon as the folder icon appears, type a name for the folder and press Return to finish.

How To Export Mail

Open FirstClass email.

Double-click the MailBox icon to open your mailbox.

Select the message(s) and/or folder(s) to export.

Tip. There are two ways select multiple messages or folders. To select messages or folders that are listed in an unbroken sequence (contiguously), click the first message or folder; then press and hold the Shift key and click the last message or folder. Alternatively to cherry-pick messages or folders that are not contiguous, click the first message or folder; then press and hold the key (ctrl key on Windows) and click each additional message/folder.

Pull down the File menu and select Export...

When you see the Export Options dialog box, check "Export files, messages, and documents (.rtf)" and then click OK.

In the next window, navigate to the folder that you created above to hold your email, and then click Choose.

FirstClass displays the File Transfer window to indicate the progress of the export. When the export is complete, click Close to close the File Transfer window or Open Folder to open the folder where the exported email was saved on your computer or file server.

Within the folder that contains the exported email on your computer or file server, you will see that FirstClass created separate documents and folders for each email and attachment you selected to export. You can double-click a file to see the email message, or double-click a folder to see a list of the messages it contains.

Delete Mail

When you export email, you create a copy of the email on your hard disk or file server. The original email still exists. For that reason, when you have finished exporting your email you may wish to go back to email and delete the email messages you just exported to clean up and eliminate the duplicates.
